Time Off

Team Views

See who's out with Pulse and Timeline views.

Team Views

Two ways to see team time off: Pulse for upcoming requests in a list, Timeline for a visual calendar. Use whichever fits your task.

Pulse View

Pulse shows time off requests as a sortable, filterable table. Best for:

  • Checking who's out this week
  • Finding specific requests
  • Reviewing recent bookings

What You See

Each row shows:

  • Person — Name and avatar
  • Type — Holiday, Sick, etc. (color-coded)
  • Dates — Start and end
  • Duration — Working days affected
  • Status — Approved, Pending, or Rejected

Filtering

Click filters to narrow down:

  • By person — See one team member's requests
  • By type — Only holidays, or only sick leave
  • By status — Pending requests needing approval
  • By date — Requests in a specific period

Sorting

Click column headers to sort. Click again to reverse. Useful for finding the longest upcoming absences or the most recent bookings.

Timeline View

Timeline shows time off as bars on a Gantt chart. Best for:

  • Visual planning around absences
  • Spotting overlapping time off
  • Understanding team coverage

Reading the Chart

  • Left sidebar — Team members, alphabetically
  • Main area — Time bars showing who's out when
  • Today line — Red vertical line marking the current date
  • Status indicators — Colored dots showing if someone's active, out, or partial today
  • Scroll horizontally — Move through weeks/months
  • Today button — Jump back to current date
  • Range selector — Switch between Weekly and Monthly zoom levels

Color Coding

Each time off type has a distinct color. Bars are color-coded so you can spot patterns at a glance—lots of blue bars might mean holiday season.

Striped bars indicate partial availability (half days). Solid bars mean completely out.

Inspector Panel

Click any person in either view to open the inspector panel. This shows:

Their status today

  • Active, Out, or Part-time with hours

Allowance summary

  • Approved days used
  • Pending days
  • Remaining balance
  • Visual progress bar

Breakdown by type

  • Holiday: 8 of 20 days used
  • Sabbatical: 0 of 10 days used
  • Etc.

Non-allowance types

  • Sick days taken (no limit)
  • Other leave that doesn't count against allowance

The inspector updates as you scroll the timeline to different years, showing that year's allowance and usage.

Privacy

Sensitive Types

Some time off types are marked as "sensitive" by admins—typically sick leave or medical appointments. For these:

  • Colleagues see: "Time off" with a neutral color
  • Managers/admins see: The actual type and details

This protects privacy. Nobody needs to know why someone's out unless they have a legitimate reason to.

Details Field

The "Details" field (notes added when booking) is only visible to managers and admins. Regular team members can't see why someone booked time off, just that they did.

Exceeded Limits Warning

In the Timeline sidebar, a warning icon appears next to anyone who's exceeded their allowance. This helps managers spot issues early without digging into each person's details.

Click to see exactly which type they've exceeded and by how much.
