Allowance Overview
Monitor team allowances and spot issues early.
Allowance Overview
The Overview page shows every team member's allowance status in one table. Managers and admins use this to spot problems before they escalate.
Access: Managers and admins only. Regular team members are redirected to the Pulse view.
The Table
Each row represents one person:
| Column | What It Shows |
|---|---|
| Status | Health indicator: Healthy, Low, Critical, or Exceeded |
| Name | Person's name and avatar |
| Allowed | Total allowance for the year (pro-rated if applicable) |
| Taken | Approved days already used |
| Pending | Days in pending requests |
| Remaining | What's left (Allowed − Taken − Pending) |
| Sick Days | Days taken for sick leave (separate tracking) |
Status Indicators
The leftmost column shows allowance health at a glance:
- Healthy (green) — More than 30% remaining
- Low (amber) — Between 10% and 30% remaining
- Critical (orange) — Less than 10% remaining
- Exceeded (red) — Used more than allowed
These thresholds help you prioritize. Someone at "Critical" in March probably needs a conversation about pacing their remaining days.
Reading the Numbers
Allowed reflects pro-rating and part-time adjustments. If someone joined mid-year or works part-time, their allowed number is already adjusted—you don't need to calculate it yourself.
Pending counts toward the used total when calculating remaining days. A pending request of 5 days reduces "Remaining" by 5, even before approval. This prevents over-booking.
Sick Days is tracked separately because sick leave typically doesn't count against the holiday allowance. It's informational—useful for spotting patterns but not affecting the main allowance math.
Filtering and Sorting
Click column headers to sort. Common uses:
- Sort by Status — Group all exceeded/critical people at top
- Sort by Remaining — Find who has the most/least days left
- Sort by Sick Days — Identify high usage patterns
Use the search to find specific people quickly.
Click for Details
Click any row to open the inspector panel with that person's full breakdown:
- Allowance by type (Holiday, Sabbatical, etc.)
- Non-allowance types (Sick, Parental, etc.)
- Visual progress bar
- Request history for the year
Year Selection
The Overview shows the current year by default. Time off data is year-bounded—January 1st starts a new cycle.
When viewing historical data, allowances reflect what they were at the time. A mid-2023 joiner shows their pro-rated 2023 allowance when viewing 2023 data.
What To Do With This Information
The Overview is diagnostic, not prescriptive. When you spot issues:
Exceeded status:
- Talk to the person about their plans for the rest of the year
- Discuss whether to approve pending requests
- Consider if workload adjustments are needed
Critical status early in the year:
- Check if they have travel or events planned
- Ensure they're aware of their remaining balance
- No need to intervene—just be aware
Low sick day usage across the team:
- Probably fine. People aren't always sick.
- High usage across multiple people might indicate burnout or a bug going around
One person with very high sick days:
- Handle privately and compassionately
- Might warrant a wellbeing check-in
