Time Off
Manage your time off requests and availability to keep your team informed about when you'll be away from work. The time off system helps maintain accurate project planning and workload distribution.
Request Time Off
To request time off:
- Navigate to your Time Off section in the sidebar
- Click the New Request button
- Fill out the request form with the following details:
- Date Range: Choose your start and end dates
- Daily Availability: Set how many hours you'll be available each day during this period
- Category: Select from available options (Holiday, Sick Leave, Other)
- Details: Add any additional context or notes about your time off request (optional)
- Submit your request
Time Off Types
Holiday
- Use for vacation days, personal time, or planned time off
- Typically set to 0 hours of availability
Sick Leave
- For illness or medical appointments
- Can be set to 0 hours or partial availability if working reduced hours
Other
- For any other type of leave (bereavement, jury duty, etc.)
- Flexible availability settings based on your specific situation
Availability Settings
When requesting time off, you can specify your exact availability:
- 0 Hours: Completely unavailable (full day off)
- Partial Hours: Available for a reduced number of hours (e.g., 4 hours for a half day)
- Custom Hours: Set any number of hours based on your availability
This granular control ensures accurate workload planning and resource allocation.
Approval Process
Current System: All time off requests are automatically approved upon submission. This ensures immediate updates to your availability and prompt notifications to relevant team members.
Future Enhancement: We're actively developing an approval workflow system that will allow managers to review and approve time off requests before they become active.
Notifications
Once your time off request is approved:
- Project Managers of all projects you're assigned to will receive an inbox notification
- Notifications include details about your absence dates and availability
- This ensures all relevant stakeholders are informed about your upcoming time off
Impact on Workload
Your time off directly affects workload planning:
- Availability Adjustment: Your availability in the workload view is automatically updated to reflect your time off
- Project Planning: Managers can see reduced availability when planning project tasks
- Resource Allocation: Teams can better distribute work based on actual availability
View Your Time Off
To view your time off requests:
- Go to My Time Off
- Review your Time Off Requests Table which displays:
- All your time off requests with their status
- Request details including dates, category, and availability hours
- Filter options to view requests by status (Approved, Pending, etc.) or category (Holiday, Sick Leave, Other)
The table provides a comprehensive overview of your time off history and current requests, with easy filtering and editing capabilities.
Tips for Time Off Management
- Plan Ahead: Request time off as early as possible to help with project planning
- Be Specific: Use accurate availability hours to ensure proper workload distribution
- Check Projects: Review your active projects before requesting time off to understand the impact
- Communicate: While notifications are automatic, consider discussing longer absences with your team
Troubleshooting
Can't see time off requests?
- Ensure you're in the correct "My Time Off" section
- Check that your request was submitted successfully
- Make sure the selected date range includes the time period of the request you want to view
Can't create a time off request that overlaps with another one?
- This is intentional to keep workload calculations simple and predictable for everyone.
- Edit or delete the existing request if you need to change the dates.
Project managers not receiving notifications?
- Verify you're assigned to projects with active managers
- Notifications may take a few minutes to appear in inboxes
Workload not updating?
- Availability changes should be immediate
- Contact support if workload views aren't reflecting your time off
