Team Time Off

View all your team's time off requests in a visual Gantt chart timeline. This feature helps managers and team leads understand team availability, plan resources, and coordinate workload distribution effectively.

Overview

The Team Time Off view allows you to:

  • See all team members' time off requests in a timeline format
  • Understand team availability patterns at a glance
  • View detailed information about each time off request
  • Plan resource allocation based on team availability

Gantt Chart View

Timeline Display

The main view shows a Gantt chart with:

  • Left sidebar: Team members grouped with their request counts
  • Timeline: Visual bars showing when each person will be off
  • Date range controls: Adjust the time period you're viewing
  • Today indicator: Shows the current date on the timeline

Request Information

Each time off request displays:

  • Duration: Visual bar showing the length of time off
  • Category color: Different colors for Holiday, Sick Leave, and Other requests
  • User avatar: Profile picture of the person taking time off
  • Request count: Number of requests per team member

Viewing Request Details

To see detailed information about a time off request:

  1. Click on any request bar in the timeline
  2. A modal will open showing:
    • Employee details: Name and profile information
    • Request dates: Start and end dates
    • Category: Type of time off (Holiday, Sick Leave, Other)
    • Status: Current approval status
    • Availability: Hours available per day during the time off period
    • Working days: Total number of working days affected
    • Additional details: Any notes provided by the employee

When viewing request details:

  • Use arrow buttons to navigate between multiple requests from the same person
  • Close the modal to return to the timeline view
  • External link to view the person's full profile (if available)

Resource Planning

Use the timeline view to:

  • Identify conflicts: See when multiple team members will be off simultaneously
  • Plan coverage: Arrange task assignments around team availability
  • Track patterns: Understand seasonal trends in time off requests
  • Coordinate schedules: Avoid scheduling critical work during high-absence periods

Troubleshooting

Not seeing all team requests?

  • Check your date range includes the period you want to view

Missing request details?

  • Verify the request was submitted successfully
  • Check if the employee has provided all required information
  • Contact the employee if details seem incomplete
